Life Muses by Ro: Google-fied |
Scrap Girls is more than four years old now. I’ve received thousands of emails since we opened and, unfortunately, I’ve lost a lot of them. When I began the company, I used Outlook because it came with my Microsoft Office package. But then, I experienced two Outlook crashes and was unable to restore my databases because the backups failed.
Then, I moved to Eudora.
I discovered that Eudora was more stable and, as a result, I used it for more than two years. But, it had its problems. I realized several years into the process that some Internet service providers became confused when I sent one of their customers an email. (Eudora is fairly unknown and the ISP became alarmed.)
I was forced into permanently fixing my email problem following the failures of two computers in a one month time period. Ever vigilant, I had very carefully backed up my Eudora databases, but the computer technician didn’t realize (and I forgot to tell him) that the main database was stored in a fairly unusual spot on my drive. When I got my computer back, all of my emails were gone.
As I sat and cried at my keyboard, I thought, “There has to be a web solution to this. If I had a web solution, I would never have to worry about losing my emails because they wouldn’t be stored on my computer. And, even better, I could access my emails from any computer.”
I started Googling for an answer. I Googled and Googled and Googled, but I was confused. Gmail kept coming up as the best solution.
Gmail? Really? Gmail could help me?
Since I’d had a Gmail account for some time, I logged into it and poked around. I discovered that you can now set up Gmail so that it will receive all of your emails from various email addresses. This means that I have all of my ScrapGirls.com email sent to Gmail! Wah-hoo! I also discovered that Google gives you tons of storage and you can easily buy a ton more, if necessary. (I haven’t had to yet and shouldn’t need to for a very long time.)
The longer I use Gmail, the more I like it. Having a Gmail account comes with a lot of neat benefits. I’m only going to tell you about a couple of them today because, honestly, to cover them all would take a series of tutorials. (Now, there’s an idea. Maybe I’ll do that in future newsletters!)
Google Docs
Google has figured out how to allow you to create and store word processing documents, spreadsheets, text documents, slide presentations, and PDFs online. You can either create the documents in your favorite program (such as Microsoft Word) before uploading them to your secure Google Doc location or you can create a document from scratch within the interface.

You can also use the Google Lab document functionality to create a document from an email with a single click. I love this! If you have enabled this functionality (find it on the Google Lab tab in your Gmail settings) you will have a link to click whenever you open an email.

Another nice thing about Google Docs is that you can share them with other people. You can give your friends or co-workers rights to merely view the documents or they can have the ability to edit or share them. It’s up to you. Our team uses Google Docs to share information that many people need and to make certain that we never lose the documents we rely on.
Google Docs is extremely useful if you want to keep important emails with registration numbers, receipts, etc., filed and safe. You can create a filing system for your documents and file them away.
Task List

I love the ability to tell Gmail that a certain email requires an action from me. This is far superior to leaving it in your inbox, hoping that when you see it again you’ll remember that you need to do something. (I never can. Can you?) Adding a task is as easy as a single click. Of course, I can also type in tasks. The task list sits at the bottom of my email page so I don’t have to go anywhere else to find it. This is good for a mind that tends to clutter up!
Other interesting features of Gmail include:
- Filtering and archiving emails (good for filing purposes)
- You can add color-coded stars to emails so you can remember which ones are important.
- Instant messaging from your interface.
- Photo storage that comes with the ability to easily share the images in your blog. (I think I’ll do a tutorial on this one, because I love it.)
- Google Calendars (Love them!)
- RSS Reader
- The best spam filtering system I’ve found. (It hardly ever misses!)
I love that I can check my email from my Blackberry when I’m out. I have been liberated! I used to be tied to my home office because I worried about what would happen if I left for an extended period of time. But, because of Gmail, I can do my errands with confidence knowing that I can manage any crisis effectively no matter where I am.
The best thing about Gmail has to be that I no longer have to worry about losing my data. I sleep better because I know that it is being stored on secure servers. Of course, I use a strong password for my account and change it often. This ensures that I’m the only person who can log into my account.
A strong password includes all of the following things:
- Lowercase letters
- Uppercase letters
- Symbols (such as &, #, $)
- Numbers
Have a great weekend!

Digital Scrapbook Tutorial: Paper in a Paper |
Note: Tutorial created using Adobe Photoshop CS2 and Windows XP.
Have you ever looked at ScrapSimple Paper Templates and thought they were a great idea, but maybe a bit out of your comfort zone? Maybe you even felt a tiny bit intimidated? Well, “No Mas!” as they yelled in the Beverly Hills Chihuahua movie! Today we are going to create a layout using a pre-made paper within a ScrapSimple Paper Template. It’s easy-peasy. No kiddin’!
For the bottom layer, let’s use a pretty, light yellow paper from my A Fairy Garden Collection Mini. Open your new layout document, then open the A Fairy Garden Collection Mini paper. Using your Move Tool, drag the paper onto your layout. If you do this Shift+Drag technique correctly, the paper should snap right into place in your layout document.
Now, open the “HeartLeaves” Paper Template from the ScrapSimple Paper Templates: Always and Forever. Again, Shift+Drag it so it is the layer just above your Fairy Garden paper layer.

Next, we're going to add in this pink paper from the Afternoon Tea Collection so it's the layer above the paper template.

Our next step involves an amazingly simple, yet powerful and clever technique. Raise your hand if you have used a clipping mask before.... I see many hands out there. Very good! But for those of you who haven't used this technique, here's how. Select the pink paper layer. Then, in the Layer Menu, choose “Create Clipping Mask.” (In Photoshop Elements, the command is Ctrl+G).

If done correctly, you will notice a little arrow on the pink paper layer in the Layers Palette. If you look below at the final layout, you'll see that the pink paper is now in the shape of the paper template in the layer below. (By the way, you need to use a paper template in PNG format to do this particular technique. The JPG ones won't work for this.)
Now, isn't that the cat's meow? By simply clipping a pre-made paper to the paper template, and putting another pre-made paper behind it, you've created a new, interesting paper that is a one-of-a-kind. You may add a drop shadow to the template layer to define it a bit. If you aren't able to make drop shadows in your digital scrapbooking program, Ro has some excellent ones in the Boutique.
So, next time you look a ScrapSimple Paper Template in the face and start shaking a little bit, just yell out, “No Mas!” Then have some fun making a one-of-a-kind paper using your clipping mask technique and your favorite Scrap Girls papers and templates.
